The Privacy Rule addressed the use and disclosure of individuals\u2019 health information by healthcare providers or organizations.<\/p>\n<p>\u201cThe biggest challenge presented by HIPAA is to accurately and consistently protect individuals&#8217; privacy without crippling your business,&#8221; said Christopher Fuller of TechRepublic.com. \u201cThat being the case, the best technologies available would be those that allowed you to share exactly the right information.\u201d<\/p>\n<p>While challenging, compliance is within reach for any practice as long as you make sure the following procedures are in place for your staff.<\/p>\n<p><strong>HIPAA Compliant Practices<br \/>\n<\/strong><\/p>\n<ul>\n<li>Practices must provide an up-to-date training program on the handling of PHI for employees performing health plan administrative functions.<\/li>\n<\/ul>\n<ul>\n<li>Make sure <strong>not to share sensitive PHI with others who shouldn\u2019t have access<\/strong>, including co-workers or personal acquaintances.<\/li>\n<\/ul>\n<ul>\n<li>Avoid accessing a patient\u2019s record unless needed for work or with written permission from the patient.<\/li>\n<\/ul>\n<ul>\n<li>Minimize occurrences of others overhearing patient information. Do not use a patient\u2019s whole name within hearing distance of others.<\/li>\n<\/ul>\n<ul>\n<li>Secure all paperwork containing PHI by placing it in a drawer or folder when not in use. Cover charts so patient names are not visible. Never leave records and other PHI unattended.<\/li>\n<\/ul>\n<ul>\n<li><strong>Close computer programs containing patient information when not in use<\/strong>. Practice management systems with automatic time-out settings can be valuable in this regard.<\/li>\n<\/ul>\n<ul>\n<li><a href=\"https:\/\/www.carecloud.com\/continuum\/patient-email-contact-best-practices\/\">Limit e-mail transmissions of PHI<\/a>\u00a0to only those circumstances when the information cannot be sent another way.<\/li>\n<\/ul>\n<ul>\n<li>Always use a cover sheet when faxing PHI.<\/li>\n<\/ul>\n<ul>\n<li>Back up all disks that contain PHI. Storing your patients\u2019 information in a\u00a0<a href=\"https:\/\/www.carecloud.com\/continuum\/choose-hipaa-compliant-data-backup-service\/\">HIPAA compliant cloud server<\/a>\u00a0is safer than using a localized server or paper documents, according to recent findings from the US Department of Health and Human Services.<\/li>\n<\/ul>\n<ul>\n<li>Assign different levels of security clearance to specific people. Role-based security prevents employees from accidentally changing or seeing information that does not pertain to their specific duties.<\/li>\n<\/ul>\n<ul>\n<li><strong>Never share passwords between staff members<\/strong>. The HIPAA champion should assign passwords to all employees who are allowed access to PHI.\u00a0<a href=\"https:\/\/www.carecloud.com\/continuum\/bulletproof-internet-at-your-practice\/\">Single sign-on PM systems use voice recognition or fingerprint detection<\/a>\u00a0along with user-specific passwords to secure logins.<\/li>\n<\/ul>\n<ul>\n<li>Properly dispose of information containing PHI by shredding paper files.<\/li>\n<\/ul>\n<ul>\n<li>Make sure computers have updated <a href=\"https:\/\/cybernews.com\/best-antivirus-software\/\">anti-virus scanning software<\/a> installed. This guarantees your practice is reasonably guarded against malicious software.<\/li>\n<\/ul>\n<ul>\n<li>It\u2019s also important to make sure any vendors or other businesses associated with your practice are properly following HIPAA standards as well.<\/li>\n<\/ul>\n<p>Simple enough?
