The <a href=\"https:\/\/www.carecloud.com\/continuum\/improving-the-roi-of-your-ehr\/\">implementation process<\/a> of Company A isn\u2019t necessarily the same process as Company B\u2019s.<\/p>\n<p>Among health IT vendors, there are <strong>distinct differences in approach, customer service and training<\/strong> procedures that have a significant impact on software satisfaction.<\/p>\n<p><!--more-->When shopping for a new technology solution, practices have to be aware of what to look for in a vendor\u2019s implementation process that will make software adoption as painless as possible.<\/p>\n<p>Looking for answers, we asked the <a href=\"https:\/\/www.carecloud.com\/continuum\/navigating-your-practices-transition-to-ehr\/\">experts at CareCloud<\/a> to help us understand what encompasses an easy and effective implementation.<strong>\u00a0<\/strong><\/p>\n<p>\u201cWhat ultimately separates a successful implementation from a bad one is expectations and a timeline that is clearly defined,\u201d said Michael Pepe, Project Manager at CareCloud.\u00a0 \u201cWithout proper expectations and transparency, the client feels powerless, which in turn leads to confusion and stress.\u201d<\/p>\n<h3><strong>Customer Service<\/strong><strong>\u00a0<\/strong><\/h3>\n<p>According to Pepe, a solid relationship between the practice and vendor is key component to a successful implementation.<\/p>\n<p>Alina Freyre, CareCloud\u2019s Manager of Small Group Implementation, agrees. Her team schedules weekly phone calls with practice managers to establish timelines and tasks for the week.<\/p>\n<p>\u201cIt is important to set proper expectations on the kick off call, so both the Implementation Specialist and the client respect each other\u2019s schedule. Customer service should be the number one aspect in any implementation,\u201d said Freyre.<\/p>\n<p>For Freyre, a <a href=\"https:\/\/www.carecloud.com\/continuum\/engage-your-employees-to-improve-patient-satisfaction\/\">great customer service<\/a> experience is <strong>reliant on structure and transparency.<\/strong><\/p>\n<h3><strong>Time Frame<\/strong><strong style=\"font-size: 13px;\">\u00a0<\/strong><\/h3>\n<p>The amount of time it takes to implement new health IT software depends on the size of the practice and the specific vendor.<\/p>\n<p>At CareCloud, Pepe recommends a 45 to 60 day implementation cycle for smaller groups. But larger groups have many more moving parts, so the implementation process tends to last a little longer.<\/p>\n<p>\u201cIt\u2019s important to be flexible, but it\u2019s also important to establish guidelines. A big change like a new EHR is very turbulent for practice, so the clearer you can be about implementation timelines, the better for everyone,\u201d said Pepe.<\/p>\n<h3><strong>Training<\/strong><strong style=\"font-size: 13px;\">\u00a0<\/strong><\/h3>\n<p>Training is another process to take into account during implementation. While some vendors boast a speedy implementation period, this <strong>normally doesn\u2019t include training staff<\/strong> on how to use the new system.<\/p>\n<p>\u201cThere is nothing worse than starting a new system and not being trained,\u201d said Freyre. \u201cMost clients are so used to their old workflow, if they\u2019re not trained correctly it becomes a disaster.\u201d<\/p>\n<p>The implementation timeline should include the entire life cycle of implementing a new system &#8212; from the time of kick off to training to go live.<\/p>\n<p>Ultimately, a practice needs to focus on <a href=\"https:\/\/www.carecloud.com\/continuum\/8-features-to-look-for-in-the-right-ehr\/\">more than just features<\/a>. \u00a0Successful implementation is just as important, and every IT vendor approaches the process differently.
